Last updated September 2, 2026. How LiveScan360, Inc. collects, uses, shares, and protects personal, payment, and biometric information.

1. Who we are

LiveScan360, Inc. (“LiveScan360,” “we,” “us,” or “our”) provides live scan fingerprinting software, certified capture hardware, electronic submission infrastructure, and related websites and tools. We are based in Miami, Florida, and operate as an FDLE-authorized live scan submitter.

This Privacy Policy explains what information we collect, why we collect it, how we use and share it, how long we keep it, and the choices available to you. It applies to livescan360.com, our capture and operator platform, quote and onboarding forms, the public TCN status lookup, checkout, chat, and other services we provide (together, the “Services”).

If you use LiveScan360 as a provider, employer, or other organization, you are responsible for giving applicants a privacy notice that covers your own collection practices and for obtaining any consent the law or the requesting agency requires.

2. Whose information this covers

We handle information about different people in different ways:

  • Website visitors who browse marketing pages, fee lookups, news, or comparison content.
  • Prospective customers who request a quote, demo, or provider call, or who start onboarding.
  • Operators and account users who sign in to capture software, dashboards, or admin tools.
  • Applicants whose fingerprints, photographs, and identity data are captured at a live scan site and submitted through our platform to a state or federal agency.
  • People who look up a Transaction Control Number (TCN) on our public status tool.

A written order, statement of work, or data-processing addendum with a customer can add to or, for that customer’s account, take precedence over this policy.

3. Information we collect

The information we collect depends on how you use the Services. We collect only what we need to operate, secure, bill, and improve the Services, and to meet legal and agency requirements.

3.1 Information you give us

  • Identity and contact details: name, business name, job title, email, phone, and mailing or shipping address.
  • Organization details: legal name, DBA, locations, ownership or contact roles, and information needed for device or agency registration.
  • Account credentials and role assignments for operators, owners, and auditors.
  • Quote, checkout, and onboarding details: plan selection, hardware situation, device type, shipping destination, tax address, and notes you submit.
  • Messages you send through contact forms, chat, email, or SMS, including attachments you choose to provide.
  • Support and security reports, including descriptions of issues and any logs you share.

3.2 Applicant, biometric, and submission data

When a provider or organization uses LiveScan360 to enroll an applicant, the platform may process biometric and identity information required for an authorized background check or licensing submission. That can include fingerprints and related image quality data, photographs where an agency workflow requires them, biographic fields (such as name, date of birth, address, and identification numbers), Transaction Control Numbers, ORI and purpose codes, and submission status or acknowledgment data returned by FDLE, the FBI, or another receiving agency.

We process this information to capture, quality-check, package, transmit, track, and retain or dispose of transactions as the Services and applicable agency rules require. We do not use applicant biometric data for advertising, resale, or unrelated profiling.

If you are an applicant, the live scan site or requesting organization is typically the party that collected your information and chose the ORI and purpose. Questions about why you were printed, what the agency will do with the results, or how to challenge a record should go to that organization or the receiving agency. You can also contact us as described below and we will help where we can.

3.3 Payment and shipping information

If you buy hardware or pay for a plan, we collect billing contact details and a U.S. shipping address so we can fulfill the order and calculate sales tax. Card numbers and similar payment credentials are collected and processed by our payment processor (currently Stripe). We do not store full card numbers on our systems.

3.4 TCN lookup information

If you use the public TCN status lookup, you provide a Transaction Control Number. We use that number to query FDLE’s civil workflow status source and show you the result. We may keep limited lookup records (such as the TCN, time, and technical metadata) to operate the tool, prevent abuse, and diagnose errors. The lookup is a convenience wrapper around the agency system; FDLE remains the source of truth.

3.5 Information collected automatically

When you use the Services, we and our service providers may automatically collect:

  • Device and browser data, IP address, general location derived from IP, language, and referring URL.
  • Usage data such as pages viewed, features used, timestamps, and error or performance events.
  • Session cookies or similar tokens needed to keep you signed in to admin or other protected tools.
  • Chat-widget technical data if you open on-site messaging.

3.6 Information from others

We may receive information from payment processors, shipping carriers, hosting and communications providers, CRM tools, and from state or federal systems that return submission acknowledgments or status. If you are referred by a partner or request a call, we may receive the contact details you asked them to share.

4. How we use information

We use information to:

  • Provide, operate, secure, and support the Services, including capture, packaging, transmission, tracking, fee lookups, and TCN status checks.
  • Create and manage accounts, roles, and audit trails.
  • Prepare quotes, take payment, calculate tax, ship hardware, and provision software.
  • Communicate about orders, onboarding, service changes, security issues, and support.
  • Comply with law, agency rules, lawful requests, and our contracts, including CJIS-aligned handling where it applies.
  • Detect, investigate, and prevent fraud, abuse, and security incidents.
  • Improve reliability, usability, and documentation, using aggregated or de-identified data where practical.
  • Enforce our Terms of Service and protect LiveScan360, our customers, applicants, and the public.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

5. How we share information

We share information only as needed to run the Services or as the law requires. Typical disclosures include:

  • Receiving agencies. Authorized fingerprint and related records are transmitted to FDLE, the FBI, or other agencies you or your customer designate. Those agencies handle results under their own rules.
  • Service providers. Hosting, storage, payment, tax, email, SMS, chat, error monitoring, and similar vendors process information on our instructions. They are not permitted to use it for their own marketing.
  • Your organization. If you are an operator or applicant interacting through a customer account, account administrators and authorized staff may see activity and records for that organization.
  • Professional advisors and insurers, under confidentiality obligations.
  • Corporate transactions. If we consider or complete a merger, financing, or sale of assets, information may be disclosed as part of that process, subject to this policy or a successor policy.
  • Legal and safety. We may disclose information to comply with law, court order, or agency demand; to protect rights, safety, and security; or to establish or defend legal claims.

We do not sell applicant biometric data. Agency submissions are transmissions required to provide the live scan service you requested, not a sale.

6. Cookies and similar technologies

We use cookies and similar technologies that are necessary to operate the site and keep authenticated sessions working (for example, admin or calculator sign-in). Our on-site chat widget is provided by a third party and may set its own cookies when you load or use chat.

We do not currently run third-party advertising pixels on the marketing site. If that changes, we will update this policy and, where required, offer a choice. You can control cookies through your browser; blocking necessary cookies may prevent sign-in or other features from working.

7. Retention

We keep information for as long as needed to provide the Services, meet agency and legal retention rules, resolve disputes, and enforce agreements. Retention can differ by record type:

  • Account, billing, and contract records are kept for the life of the relationship and a reasonable period afterward for tax, audit, and legal purposes.
  • Applicant and submission records follow the retention and disposal controls configured for the customer and any mandatory agency period. Customers can ask us about current options.
  • TCN lookup logs are kept only as long as needed for operations, security, and abuse prevention.
  • Support correspondence is kept as long as needed to finish the request and maintain a service history.

When retention ends, we delete or de-identify information, or securely archive it if a legal hold applies.

8. Security

We design the Services around encryption in transit (TLS) and at rest, role-based access, least-privilege operator permissions, and audit logging. Our infrastructure is built to align with Criminal Justice Information Services (CJIS) expectations where they apply, and LiveScan360 operates as a SOC 2 examined service organization.

No method of transmission or storage is completely secure. If we become aware of a breach that requires notice, we will notify affected customers and individuals as the law and our contracts require. 9. Children and minors

The marketing website and operator platform are directed at businesses and adults, not children under 13, and we do not knowingly collect personal information from children through those surfaces.

Live scan programs can lawfully include minors (for example, youth programs, volunteering, or licensing). In those cases the provider or requesting organization must obtain any required parental or guardian consent and use an authorized purpose. We process that applicant data only to provide the Services.

10. Your choices and rights

Depending on where you live and your relationship with us, you may have the right to request access, correction, deletion, or a copy of personal information; to appeal a denial; and to opt out of certain sharing. Florida residents may have additional rights under the Florida Digital Bill of Rights. California residents may have rights under the CCPA/CPRA, including the right to know, delete, correct, and not be discriminated against for exercising those rights.

Because we do not sell personal information or share it for cross-context behavioral advertising, we do not offer a “Do Not Sell or Share” opt-out for those activities.

Some records cannot be deleted or altered on request—for example, transmissions already sent to an agency, records we must keep under law, or data another organization controls as the customer. We will explain if that applies.

We may need to verify your identity and, if you are an applicant printed by a customer, we may route the request to that customer. Authorized agents may submit requests with proof of authorization.

11. International visitors

We operate in the United States. If you access the Services from another country, your information will be processed in the United States, which may have different data-protection rules than your home jurisdiction.

12. Third-party sites and agency systems

The Services may link to third-party sites (including applicant scheduling on other domains) or query agency systems we do not control. Their privacy practices govern information you give them. This policy does not cover FDLE, FBI, or other agency use of records they receive.

13. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. For material changes, we will provide additional notice when required—such as a site banner or an email to account contacts. Continued use of the Services after the updated policy takes effect means you accept the revised policy.
